Technopolis to smoothen invitation process PDF Print E-mail

Technopolis took Widisys Wireless Event Manager service into use in spring 2008. The purpose was to investigate the possibilities for improving the event-related, partly manual invitation process in a way also acceptable for the participants. At the end of the year it was time to draw conclusions: text message reminders became a standard part of the invitation process.

WEM reminderTells Ms Heidi Aho, Marketing Assistant of Technopolis: "As an organization continuously arranging events with a couple of dozens of participants each, a significant part of our work used to consist of reminding the participants on the oncoming events by e-mail. And should they not be able to attend, the registered participants informed us by sending an e-mail - if giving any notice at all. Maintaining lists of participants was a nightmare." With Wireless Event Manager service in use the event organizer could prepare the event-related reminders well beforehand, setting a timer for their transmission to those participants who had given their mobile numbers upon registration. An up-to-date participation status was available for the organizer whenever she wanted. States Ms Aho: "It was easy to spot the essential follow-up actions, leaving out the unnecessary ones."

Underlines Ms Karita Huotari, Director responsible for the networking services of Technopolis: "WEM's decreasing impact on work load was a clear benefit for us. However, we wanted to be sure that also our clientele approves the new way of communication". Therefore, a customer satisfaction survey was carried out during May-December 2008 by amending Technopolis' event feedback form with a question "In case you gave us your mobile phone upon registration, did you find the event-related text messages useful?". The question was posed to over 300 attendees of Technopolis Business Breakfast events. Muses Ms Huotari: "As a result, over 80% of the respondents perceived our service as improved due to text messaging".

Encouraged by these results, Technopolis made a decision to renew their entire Business Breakfast invitation process, giving up e-mail reminders completely. Summarize Ms Aho and Ms Huotari: "A two-way text message is now the type of reminder our Business Breakfast customers expect from us; knowing they can also easily inform us upon a possible cancellation with it".
